Privacy Policy
Northern Beaches Coworking Space - How We Handle Your Information
1. Who We Are
Northern Beaches Coworking (ABN
60 368 962 309) is committed to protecting your personal information in
accordance with the Australian Privacy Act 1988 (Cth) and the Australian
Privacy Principles.
2. Information We Collect
We collect the following
personal information:
•
Account information: Your name, email address, and phone number.
•
Identity verification: Identity verification is completed digitally through our app using Stripe Identity, a third-party identity verification service. You submit your government-issued photo ID (driver's licence or passport) directly to Stripe. Northern Beaches Coworking does not receive, view or store a copy of your identity document — we receive only a confirmation that your identity was verified, and the date it was verified. Stripe processes and retains your document under its own privacy policy (stripe.com/privacy). You may contact us at hello@northernbeachescoworking.com.au with any questions about your verification record.
•
Usage data: Records of your door-entry logs (the dates and times your personal access code is used to enter a location), your attendance and visit history, and any private meeting-room bookings you make.
•
Payment information: Payment transactions are
processed by Stripe. We do not store your credit card details. We retain
records of transaction amounts, dates, and plan types.
•
Communications: Any enquiries, support requests,
or messages you send us.
3. CCTV Surveillance
All Northern Beaches Coworking
locations are monitored by closed-circuit television (CCTV). This is disclosed
in accordance with the Australian Privacy Act 1988 (Cth). CCTV footage is
collected for the purposes of security, safety of members, and protection of
premises and equipment.
CCTV footage is stored securely
and retained for a maximum of 30 days, after which it is automatically deleted
unless required for an active investigation. Access to footage is restricted to
authorised personnel and is only reviewed in the event of a security incident,
reported theft, property damage, or where required by law.
4. How We Use Your Information
We use your personal information
to:
•
Operate and manage your account and coworking access
•
Process payments and manage your membership or credit
balance
•
Issue and manage your personal access code (PIN), which works at every location during opening hours, and record your attendance and deduct visit credits based on your door-entry activity
•
Communicate with you about your account, bookings, or
service updates
•
Maintain the security of our premises and members
•
Comply with our legal obligations
5. Disclosure of Information
We do not sell, rent, or trade
your personal information. We share your information only with service
providers necessary to operate our platform, including:
•
Stripe Identity: Verifies your government-issued photo ID. Your document is submitted directly to Stripe; we receive only a pass/fail result and the verification date, never a copy of the document itself.
•
Supabase: Database and authentication
infrastructure.
•
Vercel: Website hosting.
All third-party providers are
required to handle your data in accordance with applicable privacy laws. We may
also disclose your information where required by law or a court order.
6. Cookies, Advertising and Analytics
Our website uses essential cookies required for authentication and session management.
We also use third-party advertising and analytics cookies and similar technologies. Our pages load the Meta (Facebook and Instagram) advertising pixel, the Google Ads tag and the OpenAI advertising pixel. These set and read identifiers — including Meta’s _fbp browser cookie and the fbclid click identifier carried in the link you followed — which allow us and those platforms to recognise that a visit, and any enquiry that follows, came from a particular advertisement.
If you submit the free-trial or enquiry form, we send Meta and Google a record of that conversion. The record sent to Meta includes your name, email address and mobile number in hashed form — irreversibly converted using SHA-256 before it leaves our systems, so the platform receives a fingerprint rather than the plain value — together with your IP address, browser user-agent and the advertising identifiers described above. We also use Vercel to measure website performance.
Overseas disclosure. This advertising and measurement data is disclosed to recipients located overseas, principally in the United States, and is handled under those recipients’ own privacy policies, which we do not control.
You can limit this. Most browsers allow you to block or delete third-party cookies, and both Meta (facebook.com/adpreferences/ad_settings) and Google (adssettings.google.com) provide their own advertising controls. Blocking them does not affect your ability to use this website or to request a free trial.
7. Data Security
We take reasonable steps to
protect your personal information from misuse, interference, loss, and
unauthorised access. Our platform uses industry-standard encryption for data in
transit and at rest. Access to personal data is restricted to authorised personnel
on a need-to-know basis.
We retain personal information
only for as long as necessary to fulfil the purposes outlined in this policy or
to comply with legal obligations. When information is no longer required, it is
securely deleted.
8. Your Rights
Under the Australian Privacy
Act, you have the right to:
•
Request access to the personal information we hold
about you
•
Request correction of inaccurate or outdated
information
•
Make a complaint if you believe we have breached your
privacy
To exercise these rights,
contact us at hello@northernbeachescoworking.com.au. We will respond within 30
days.
9. Complaints
If you are not satisfied with
our response to a privacy complaint, you may contact the Office of the
Australian Information Commissioner (OAIC) at oaic.gov.au.
10. Updates to This Policy
We may update this Privacy
Policy from time to time. The current version will always be available at
northernbeachescoworking.com.au/privacy. Continued use of our services after an
update constitutes acceptance of the revised policy.

Payment processing and overseas storage
We share payment details with Stripe, our payment processor, which collects and processes them directly under its own privacy terms. Some of our service providers — including Stripe, Supabase, Vercel and Microsoft — may store or process your information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.
